To protect your investment, The Eco Camp strongly advises

that all guests purchase travel and trip insurance.

Acceptance of this Agreement

By submitting a reservation request or submit payment through TheEcoCamp.com, or TheEcoCamp.innstyle.co.uk (our booking engine provider) you agree to the Terms and Conditions outlined in this document. Additionally, all guests at The Eco Camp agree to the Terms and Conditions outlined in this document. 

COVID19

The Eco Camp reserves the right to limit amenities, services, restrict usage, or rebook a stay if local orders require us to. Changes may or may not be communicated to guests prior to stay. All guests are required to comply with local laws. Irresponsible guest behavior will result in immediate removal from the private property that is The Eco Camp.

There will be absolutely no debate over our property’s policies concerning the COVID19 pandemic. We will ask disruptive guests to leave immediately.

Booking and Cancellation

For Single Tent Bookings:

To secure your booking at The Eco Camp, your balance becomes due immediately. 

If you choose to cancel more than 14 days prior to your arrival date, we will refund you the entire balance, minus the rate for a one-night stay in your chosen tent category. 

If you cancel less than 14 days prior to your arrival date, you will forfeit the full balance and no refund will be given.

No refunds are given if your stay is part of a Special Event Package, for example a group booking.

Why do we not offer refunds for group bookings?

Simple: if you take advantage of the special pricing that we offer groups, then you forfeit the ability to receive a refund. The reason? The risk for your training/class/family get together/ or event is yours, not ours. As a courtesy, we offer to apply your balance to a future booking.

We strongly recommend that you purchase a travel and cancellation insurance package.

The Eco Camp only handles bookings from persons over 18 years of age. All children must be accompanied by an adult at all times. 

For your safety and to protect from damage to our equipment, The Eco Camp reserves the right to cancel your booking at any time in the event of extreme weather conditions. For Spring, Summer, and Fall camping, extreme weather is defined as: The National Weather Service has issued a Severe Thunderstorm Warning, a Tornado Warning, or a warning pertaining to high or damaging winds in excess of 45 mph. For Winter camping, extreme weather is defined as: The National Weather Service has issued a Blizzard Warning or a Winter Storm Warning.

Should we determine that a cancellation becomes necessary, we will issue you a voucher to book an alternative date.

Equipment Usage

You are responsible for any damage to and loss of equipment that you rent or are given as a free addition for the duration of your rental period. This may include, but is not limited to: bedding, blankets, furniture, carpeting, lighting, tenting, cookware, silverware.

You agree to pay, and hereby authorize The Eco Camp to collect payments for any damage caused by you, members of your overnight camping party, non-overnight guests visiting you, your pets, or your vehicle. 

No cooking or use of cooking appliances inside the tent.

No coolers inside the tent.

No heating equipment inside the tent.

No open flame inside the tent.

No smoking inside the tent.

No pets permitted in the tents, unless the tent is designated as a dog-friendly tent.

Charcoal grills may be used outside a 10-foot perimeter around the tent and tent structures. 

When cooking at The Eco Camp, you must never have a source of heat underneath canvas fabric.

Check In and Check Out

Check In is at any point between 5:00 PM and 9:00 PM. Late check in is available by prior arrangement from 9:00 PM to 10:00 PM. A Late Check In Fee applies. The fee is $50. The fee is harsh because it’s super disturbing when you pull your bags and coolers through the camp at nighttime - the fee is intended to discourage guests from arriving after check-in ends.

Check out is no later than 11:00 AM. A late checkout is available for a fee of $50 (2 additional hours).

Groups

The person booking, where they are booking on behalf of other people, is responsible for disseminating all information and policies regarding the stay at The Eco Camp to persons in the group.

Nuisance

Guests must be respectful of other guests on the site. Loud noise and nuisance will not be tolerated at any time and all noise must cease after 11pm. Guests who are causing nuisance may be required to immediately leave The Eco Camp.

Occupancy

Occupancy of a big tent must not exceed 4 people and occupancy of a little tent must not exceed 2 people and we reserve the right to decline accommodation and/ or ask you to leave the site at any time if your numbers exceed this. The booking will then be deemed cancelled with full loss of payment. 

If you bring unbooked persons onto the property, you will immediately be asked to pack your things and leave.

In certain circumstances additional cots can be arranged in a yurt, but only by prior agreement with the owners and payment of an additional fee.

Whilst we will always endeavor to put groups in tents close to each other and to allocate specifically requested tent positions, we are unable to guarantee this.

Length of Stay

The Eco Camp has a maximum length of stay of 14 nights. We reserve the right to cancel reservations exceeding the maximum length of stay.

Day Visitors

The Eco Camp encourages you to meet friends or family members outside the property as it can be disruptive to other guests. You may not host unbooked guests at the camp. If you bring unbooked persons onto the property, you will immediately be asked to pack your things and leave.

Warning

Please remember you are staying in a forest camping environment with live animals and other hazards including the proximity of deep water, falling branches, and unexpected weather events. Some of the camp equipment can be dangerous if misused. The proprietor and The Eco Camp accept no liability for any accident, injury, death, loss or damage sustained by any camper, resident, family, visitors, animals, vehicle or personal effects however caused.

Stoves

The propane heating stoves in the tent must not be running while people or animals are asleep inside the tent. With any stove, there is a risk of CO poisoning and gas leakage. Stoves must not be used for cooking or burning paper or wood. 

Damage

Any damage which may occur must be paid for. Small accidental damages or breakages of a minor nature will not normally be charged but you are required to report all breakage and damage to the owner at the time or before you leave the camp. You will be charged for any and all undeclared damage discovered after your departure.

Complaints

Any complaints must be made known to us immediately. No complaints will be entertained at the end of the stay or after the guest has departed. Believe us, we want to fix whatever is wrong right away. Your experience here matters greatly to us.

Personal Belongings

The Eco Camp accepts no liability for any belongings left in the tents, your vehicles or on the property at any time. If you have valuable items that you wish to leave in a secure place please let us know and we will store these for you at your own risk.

Pricing and Prices

All prices are subject to change. The Eco Camp reserves the right to adjust your reservation to a category that is appropriate for your group size and/or requirements.

In the rental price of every tent the following is included:

• Pre-cleaning and setting the tent up for you (final cleanup is your responsibility)

• Rental of tent and the tent site.

• Use of and access to The Eco Camp

Not included are, among other things:

• Washing of the dishes.

• Collection of and stripping of bed linen.

• Emptying bin and putting rubbish into a waste bag and placing it in an outside container.

• Sweeping of the floor.

• Cleaning of any kitchen equipment or the kitchen

• Emptying trash (yurts, Airstream, kitchen, restrooms)

• Cleaning a soiled restroom (any fecal matter is visible and/or urine present outside of intended receptacles)

If we must clean after you, we reserve the right to charge $45 for each 30 minute increment. The rate is extremely high to kindly ensure your cooperation.

Before check out, you are responsible for the following: 

  1. Sweep the tent floor.

  2. Remove all trash and dirt from the tent and place it in the outside trash can. Also empty the small trash bin inside the tent.

  3. Wash all dishes used by you and your party.

  4. Clean the outside tent area of all trash and debris left by you or your party.

If you leave your site without completing these steps, you will be charged the additional cleaning fee.

Photos

You grant The Eco Camp permission to use your images shared on social media with The Eco Camp without attribution or compensation. We will never take your picture without your permission.

Photo Shoots

The Eco Camp offers a special rate for professional photo shoots of the property. When booked for a photo shoot, all images taken of The Eco Camp, its tents and equipment, and landscape and forest must the shared free of charge with The Eco Camp LTD. The photographer maintains all rights of their intellectual property, but grants The Eco Camp LTD. the right to use (social media, the web, print, TV, video), distribute, alter and share images obtained under this section of the Terms and Conditions. The Eco Camp will attribute all images to the photographer.

Prize Winners

If you received a voucher for a stay at The Eco Camp through a drawing, as a prize, or as part of benefit donation, The Eco Camp reserves the right to re-book your stay. No refunds will be given to the holder of a voucher for a stay at The Eco Camp.

Pets

We permit one (1) dog in Big Lotus 3 and one (1) dog in Big Lotus 4. Send us a message if you're thinking about bringing two really small dogs (Chihuahua-sized), we'll try to accommodate. 

Dogs must be leashed on the property at all times. There are no exceptions.

You may never leave your dog alone in the tent or vehicle.

You must bring a wire crate if you plan on leaving your dog alone in the tent, for example when you shower. 

All poops must be picked up immediately and disposed of in a trash can.

We reserve the right to demand that a dog be removed from the property due to aggressive, threatening, or menacing behavior. We're not skittish though, so we're talking "Cujo-level" here.

Excessive barking is also not permitted. (We know, try telling the doggie that.)

You must clean up minor (#1) and major (#2) accidents right away. We are providing an organic cleaning product for your use. Spray on rag and wipe surface. Do not spray directly on the tent fabric. Let the owner know if an accident happened and where. We do not charge a cleaning fee for minor accidents. Major accidents and/or a chewed tent or chewed furnishings will incur charges.

Do not permit strangers to approach or pet your dog. Protect your dog.

We are required to report all pet bites to the local sheriff department.

All dogs must be vaccinated and you may be asked to produce immunization and vaccination records for your dog by members of the staff or the health department.

There is a cleaning fee for the dog-friendly tents.

Dogs are not permitted to swim in the pond, under any circumstance. The health department will close the pond to swimmers and you will be liable for loss of revenue. Don’t do it. If it is hot, Alex can prepare a doggie bath for your pup.

Weather 

We do not charge for sunshine, and we do not provide refunds for inclement weather.

Firearms & Weapons

No weapons are permitted at The Eco Camp or Bluegrass Campground.

Liability 

The use of The Eco Camp’s facilities is at the user’s own risk. The Eco Camp’s guests are responsible for their visitors. The Eco Camp assumes no responsibility or liability for the safety and security of campers/visitors. The Eco Camp is not responsible for loss or damage to camping guests’ property due to theft, vandalism, fire, any casualty, or act of God. Registered guests and all other users of this property expressly assume all risk of such loss or damage and must carry their own insurance.

Disclaimer

The Eco Camp provides its services, including but not limited to its sites, utilities, and amenities on an “as is” basis and makes no representations or warranties of any kind, either expressed or implied. By staying at or using The Eco Camp’s facilities, you agree to these terms and that under no circumstances will The Eco Camp be liable for direct, indirect, incidental or any other type of damages resulting from your use of any part of the The Eco Camp. This includes, but is in no way limited to, loss or injury/death caused in whole or in part by our negligence or things beyond our control.

Indemnification

Camping guest shall indemnify and hold harmless The Eco Camp, its officers, and employees from all claims, liability, and expenses, including but not limited to attorney and other professional fees, for injury to persons, loss of life, or damage to property arising out of the camper’s exercise of his rights hereunder.

Arbitration

You agree that complaints and disputes will be handled through arbitration.

Reservation of Rights

The Eco Camp is private property. The Eco Camp reserves the right to amend these rules without prior notice to residents or guests. The Eco Camp, at its discretion, reserves the right to refuse entry to the camp to any person and to evict current guests without a refund. The Eco Camp also reserves the right to refuse to accommodate current and returning guests that have violated our rules and regulations and /or have vacated the camp without paying all fees.

Special Events - Pricing and policies

  1. The Event Space is available for rent for already-booked overnight guests at The Eco Camp.

  2. The Event Space is booked for a minimum of 3 days: a setup day, an event day, and a takedown day.

  3. Events and any noise must end no later than 10:30 PM.

  4. The Eco Camp may require that large events rent out the campsites at Bluegrass Campground to avoid noise complaints.

  5. The Events Space includes plates, silverware, mugs, and drinking glasses for up to 100 persons. Off-white table cloths can be provided free of charge. Guests bring tables and chairs.

  6. Each event space tent rents for $300 and can accommodate up to 16 to 20 folks at rectangular dining tables.

  7. The Event Space is off-grid, guests may bring a generator.

  8. The Event Space does not include parking.

The Event Space rental can be modified according to your needs and modifications will be reflected in the statement provided.
